Safety Instructions

 

This sheet should be brought with you to the hall on your hire day, as it contains operation procedures.

Opening and Closing the village hall

The village hall keys will be available from the Booking Clerk’s home (address is at the bottom of the sheet), 15 minutes prior to your hire period and, after locking up must be returned there within 30 minutes immediately posting through the letterbox.

Please ensure that any outside caterers, contractors and bar staff is aware of the hire period and that they will not be able to enter before this time. Additional time may be available and will be charged (subject to other bookings).

Please telephone the Booking Clerk 07834751044 or the Hall Secretary 07834 751045 in cases of difficulties or if you have any questions.

Guests are expected to vacate the premises within fifteen minutes of the end of the hire period. After midnight (unless the event is New Year’s Eve) only those helping to clear up the village hall should be on the premises, If you wish to clear up the following morning this period must be booked and must be completed by midday. Failure to comply with this will result in forfeiture of your deposit.

Health & Safety

In the event of a fire, the village hall should be evacuated in an orderly manner using the appropriate exits, and the Fire Brigade called by dialling 999.The exact location of the nearest telephone, fire exits and fire extinguishers must be noted before the village hall is occupied and the manner of opening Fire Doors should be made known to your guests. Please use any trolleys that are provided for moving chairs and tables in order to avoid injury. Please stack chairs and tables in the storeroom in the manner detailed on any notices.

The village hall’s health and safety file is kept in the left-hand draw next to the cooker (and must be returned there after reading). The file should be read so the emergency & evacuation plan is clear, if it needs to be put in to operation.

A first aid box & accident book is located in the Kitchen (near the hand-washing sink on the wall).

Power Circuits & Central Heating

The heating controls are located in the bar area. Please let the booking clerk know if you need the village hall to be particularly warm or cold. Do not adjust individual radiators as this will result in the village hall being too cold or hot for subsequent users. The heating is timed to turn off at 10.30pm. The Power circuits are timed to turn off at 11.59pm. Please warn your guests, band & disco of this.

Car Parking

The village hall car park will accommodate a good number of cars if they are parked sensibly.

PLEASE NOTE: The village hall management committee is unable to accept any responsibility for loss of or damage to vehicles left in the car park.

Consideration for Others

Please ask your guests to leave quietly at the close of your event. Car doors banging and loud talk or music from vehicles in the car park are disturbing to local residents and if complaints are made to us we will retain your deposit.

Noise

If using amplified music please make your D.J. or entertainer aware that the noise must be kept to a minimum and that not Bass Boxies are to be used. ALL DOORS AND WINDOWS ARE TO BE CLOSED (expect for egress) AFTER 10PM AT NIGHT TO PREVENT DISTRUBANCE TO THE NEIGHBOURS.

Decorations

The use of drawing pins or sellotape on the walls, floors or other surfaces will cause damage upon removal therefore we ask you not to use these. If you do charges will apply for any damage caused. Please consider using blue-tack or tying items to the hooks provided, If you need decorations.

Cleanliness

Please leave the village hall clean and tidy and leave waste in the skip outside. In particular we ask you to ensure tabletops are wiped clean before being stacked. Chairs are stacked neatly in the storeroom and all floors must be swept and washed if required. Additional charges may apply if the hall is not left in a satisfactory state following inspection.

Faults, Damage or Comments

Please report any faults or damage to the booking Clerk as soon as possible so that they can be rectified quickly. The Management Committee welcomes any comments or observations that you may have about your hire of the village hall, please can you put them in writing to the village hall secretary for further action.

IMPORTANT

It has been brought to our attention at parties that the rear side of the hall is used as a public lavatory and this is behaviour we are trying to stop. Therefore we request that regular perimeter inspections be carried out during your function to prevent this. An additional fee may apply for cleaning if this happens. 

Smoking

The committee would like to remind all hirers using the hall that we now operate a no smoking policy through out the hall, please smoke outside if you wish to smoke and wall mounted bins are provided for the use of smokers.

Location and Use of Fire Equipment for Hirers

A range of fire fighting equipment is sited at obvious locations around the premises. Notices are displayed adjacent to the equipment on proper use; it is your responsibilities to ensure you are familiar with the use & operation. No fire fighting equipment should be used until the safety of all members in your party is confirmed. In the event of any fire (no matter how small) or emergency the booking clerk must be informed (after the emergency services are called) and the accident book completed (for injury).

If further information is needed on operation of fire fighting equipment or operation of the fire door, you should ask the booking clerk at the time of collecting the key.

Please note, the fire fighting equipment must not be misused as you will in danger the life of other hirers if any equipment is misused the cost of repairing or replacing the damaged fire fighting equipment will be recovered from the hirer.
